Position Summary:

As a Specialist, Marketing Operations, you will play an important role in leading the development, planning and execution of speaker programs, conferences, ad boards and other HCP engagements. It is a highly interactive and cross-functional role where you will develop an understanding of the brand teams' business and focus on effectively managing relationships with key stakeholders along with vendor management.


  • Facilitate and manage promotional event programs including speaker programs, external conferences, and HCP contracting for brand teams. Additionally, this role leads non-promotional processes for advisory boards and Health Care Professional consulting needs.
  • Facilitate the planning, development and execution of event(s) including working with assigned teams and other cross-functional teams to develop objectives, content, format, budget, and HCP contracting. Liaison with vendor partners to ensure timelines and expectations are met and drive to successful completion through project management.
  • Ensure appropriate contracts are in place for HCP engagements of speakers and consultants including completing all debarment, tiering, and agreement execution prior to the engagement taking place.
  • Facilitate and manage regional and national conferences/conventions and support materials needed for local events. Facilitate the planning, development and execution of conferences including working directly with assigned teams to develop objectives, booths, materials, symposiums and other onsite conference venues and events. Liaison with vendor partners to ensure budget, timelines and expectations are met and drive project to successful completion through project management.
  • Manage all day-to-day activities for the planning and implementation of programs for assigned teams and HCP-contracting as needed.
  • Lead planning and status meetings with cross-functional partners and assigned teams.
  • Prepare and maintain documentation, action items and meeting outcomes. Escalate issues as appropriate.
  • Ensure adherence to compliance guidelines and guide stakeholders on appropriate processes.
  • Troubleshoot bottlenecks in workflow system.
  • Act as the point of contact and communicate project and process status adequately to all participants.
  • Effectively prioritize project workload during times of high volume - product launches, sales meetings, etc. - balancing competing objectives to ensure deliverables are on time and within budget. Coordinate project planning, forecasting and timelines.
  • Ensure involvement of appropriate functions/individuals in relevant meetings, decisions and working groups.
  • Initiate new processes or modifications of processes relative to workflows regarding payments (timing, approval and fulfillment, agreements (routing and approval)), conference logistics and closeouts and coordinate the introduction of new approaches when necessary.
  • Identify opportunities to improve organizational effectiveness.
  • Perform other duties as assigned.

    Qualifications and Skills Required:
    • Bachelor's Degree required
    • 1-4 years of promotional program, event/meeting planning, Pharma marketing or similar process experience
    • Must possess strong attention to detail
    • Strong computer skills, proficiency in Microsoft Office Suite
    • Highly organized with the ability to multitask effectively, ability to reprioritize project workload quickly
    • Ability to work in a fluid, fast-paced environment with multiple demands with initiative and independence required
